Position Summary The Human Resources Assistant provides administrative and clerical support to the HR department. This role assists with daily HR operations, employee onboarding, document preparation, timekeeping coordination, benefits support and maintaining accurate employee records. The HR Assistant ensures smooth communication between HR and employees and helps keep HR processes running efficiently and in compliance with company policies and local regulations. Core duties and strategic responsibilities HR Administrative Support: • Maintain employee files, documents, and records with accuracy and confidentiality. • Prepare HR forms, new-hire packets, letters, and routine communications. • Support the HR Manager with scheduling, documentation, and follow-ups. Outcomes: Improved efficiency for the HR Manager through reliable administrative support. Recruitment & Onboarding Support • Post jobs, collect applications, and coordinate candidate interviews. • Assist with pre-employment requirements (references, background checks, drug screens). • Help facilitate new-hire orientation, badge requests, uniforms, and onboarding materials. Outcomes: Organized recruitment activities and a smooth onboarding experience. Timekeeping & Payroll Support • Review timecards, missing punches, PTO submissions, and schedule adjustments. • Support payroll accuracy by gathering and verifying employee time and attendance information. Outcomes: Timely and accurate payroll inputs. Employee Support & Communication • Serve as the first point of contact for basic HR questions from employees. • Assist in distributing HR notices, policies, training reminders, and engagement materials. Outcomes: Clear communication and responsive HR service. Compliance & Recordkeeping • Maintain compliance checklists, required postings, and training records. • Assist with HR and safety audits by gathering documentation. Outcomes: Updated records and audit readiness. Training & Engagement Support • Assist in scheduling training sessions and tracking completion. • Support HR events, employee engagement activities, and communications. Education and Work Experience • High school diploma required; associate degree or equivalent HR coursework preferred but not required. • 1–2 years of experience in HR or administrative support roles preferred. • Experience in industrial, logistics, manufacturing, or similar environments is a plus. • Familiarity with HRIS systems (NetSuite SuitePeople or similar) is beneficial but not required.
